WorkMinty Publisher Privacy Policy

This Privacy Policy describes how WorkMinty (“WorkMinty,” “we,” “us,” or “our”) collects, uses, stores, and shares information when you use workminty.com, accounts.workminty.com, our product applications (including Payroll Calculator, Workplace, ClearLedger, Engage, Circle, PDFusion, Publisher, and WorkMinty AI), and related services (collectively, the “Services”).
1. Who we are
WorkMinty provides operational software for small business owners. Our Services are offered under the WorkMinty brand at workminty.com and product subdomains such as payroll.workminty.com, clearledger.workminty.com, engage.workminty.com, circle.workminty.com, pdffusion.workminty.com, publisher.workminty.com, workplace.workminty.com, ai.workminty.com, and accounts.workminty.com. 2. Information we collect
We collect information you provide, information generated when you use the Services, and information from third parties you connect. Account and profile: name, email address, password (if you use password sign-in), authentication provider identifiers (for example Google account subject ID when you use Continue with Google), language preferences, and account settings. Business and operational data you enter into products: company profiles, employees and contractors, payroll and tax-related fields, bookkeeping transactions and categorizations, customers and appointments, invoices and payment references, document templates and form values, publish job metadata, and similar business records. Usage and technical data: IP address, device/browser type, approximate location derived from IP where used for security (for example login geo checks), timestamps, referrers, session identifiers, and product usage events needed to operate and secure the Services. Communications: messages you send to support, and content of in-product assistance when you use WorkMinty AI.
3. How we use information
We use information to: • Provide, maintain, and improve the Services • Authenticate users and manage sessions across WorkMinty apps • Enforce licenses, quotas, and entitlement rules • Process support requests and send transactional messages (for example account or security notices) • Detect, prevent, and investigate fraud, abuse, and security incidents • Comply with law and enforce our Terms of Service • Analyze aggregated or de-identified usage to improve reliability and product design We do not sell your personal information.
4. Accounts and authentication
WorkMinty uses a shared account hub (accounts.workminty.com) and session mechanisms so you can sign in once and access entitled products. Session cookies or tokens may be scoped to *.workminty.com to support single sign-on. If you sign in with Google, we receive limited profile information from Google (such as email and name) as permitted by Google’s policies and your consent. We do not receive your Google password.
5. Product-specific practices
Payroll Calculator & Workplace: employer and employee employment data, pay runs, withholding settings, and tax form outputs you generate. Employees invited to Workplace see information their employer makes available (for example pay stubs and tax forms). ClearLedger: bank CSV imports, transaction labels, reports, and optional payroll sync data you choose to connect. Engage & Circle: customer contact details, appointments, invoices, preferences, and storefront content you configure. Standard Engage is business operations software—not an EHR. See our Health data guidance for PHI expectations. PDFusion: documents and images you upload, fill values, signatures, and related audit metadata needed for form workflows. Publisher: OAuth tokens for platforms you connect (for example YouTube or TikTok), stored encrypted; publish job status and metadata. Video file bytes are uploaded from your device to the platform; WorkMinty does not keep your video library as a media host. WorkMinty AI: prompts and relevant company context you authorize the assistant to use; model responses; usage metering. Confirm before applying write actions suggested by Assist.
6. Google and YouTube user data (Publisher OAuth)
This section explains how WorkMinty handles Google user data when you connect YouTube in Publisher (publisher.workminty.com). It is intended to meet Google’s OAuth verification disclosure requirements for Sensitive scopes such as youtube.upload and youtube.readonly. Data access (what we access): • After you authorize Publisher, Google provides OAuth access and refresh tokens for the Google account you connect. • With youtube.readonly, we read limited YouTube channel information needed to identify the connected channel (for example channel id and display name/title) so Connections can show “Connected as …”. • With youtube.upload, when you explicitly start a publish, we use your token so your browser can upload a video you select (title, description, and file metadata you enter) to your own YouTube channel via YouTube Data API v3. Video file bytes are transferred from your device to YouTube; WorkMinty does not operate a permanent video media library. • We may store publish job metadata such as status, timestamps, platform video id, and platform URL returned after upload. Data use (how we use it): • Only to provide user-facing Publisher features: connecting/disconnecting YouTube per company, displaying connection status, and publishing videos you choose after an explicit Publish action. • We do not use Google or YouTube user data for advertising, credit/lending decisions, or sale to data brokers. • We do not use YouTube API user data to train general AI/ML models. WorkMinty AI operates separately and is not trained on your YouTube OAuth tokens or YouTube channel contents obtained through Publisher. Data sharing / transfer: • We share data with Google/YouTube as required to complete the OAuth connection and uploads you initiate, subject to Google’s terms and your consent. • Infrastructure processors that host WorkMinty (for example cloud hosting) may process encrypted tokens and job metadata solely to operate the Services. • We do not sell Google user data. We do not transfer Google/YouTube user data to third parties for advertising or independent AI training. Data protection: • OAuth tokens are encrypted at rest and transmitted using TLS. • Access to production systems is restricted to authorized operators with need-to-know access. Retention and deletion: • Tokens and connection records are retained while the YouTube connection remains active for that company. • You can disconnect YouTube in Publisher at any time; we delete or invalidate stored tokens for that connection. • You may request account closure or deletion of related personal data by emailing info@workminty.com. Some records (for example billing, security, or legal audit logs) may be retained where required by law. Limited Use: • WorkMinty’s use of Google user data obtained through Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We request only the scopes needed for the features above and use that data only to provide or improve those user-facing features.
7. Service providers and third parties
We use processors and platforms that help us run the Services, such as: • Hosting and infrastructure providers • Email delivery (for example transactional email) • Authentication providers you choose (for example Google) • AI model providers when you use WorkMinty AI (for example DeepSeek), which process prompts you submit to generate responses • Social platforms you connect in Publisher (YouTube, TikTok, and others when enabled), which receive content and metadata according to their terms and your OAuth grants These parties process data under their own terms and privacy policies when you interact with them directly. We require service providers who process data on our behalf to protect it and use it only for contracted purposes, except where you authorize a direct connection to a third-party platform.
8. Cookies and similar technologies
We use cookies and local storage for authentication, session continuity, preference storage (for example language), and security. Essential cookies are required for signed-in use of the Services. You can control cookies through your browser settings; disabling essential cookies may prevent login or product use.
9. Retention
We retain account and business data for as long as your account is active and as needed to provide the Services, meet legal obligations, resolve disputes, and enforce agreements. You may request deletion of your account by contacting info@workminty.com; some records may be retained where required by law or for legitimate security and audit purposes. Publisher Google/YouTube connection data is also described in Section 6.
10. Security
We implement administrative, technical, and organizational measures designed to protect information, including encryption in transit, access controls, and encrypted storage of sensitive credentials such as Publisher OAuth tokens. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
11. Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or export certain personal information, or to object to or restrict certain processing. To exercise a request, email info@workminty.com with enough detail for us to verify and respond. You can update many profile and company settings in the account hub and product apps. You can disconnect third-party platform connections (for example Publisher YouTube) in-product. You can stop using the Services and request account closure.
12. Children’s privacy
The Services are designed for business use and are not directed to children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us information, contact info@workminty.com.
13. Health-related information
Unless you have a separate written Business Associate Agreement with us for a HIPAA tier, do not store protected health information (PHI) in WorkMinty. See Health data guidance for details aimed at clinics and wellness businesses.
14. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the effective date. Continued use of the Services after changes become effective constitutes acceptance of the updated policy where permitted by law.
