Payroll history, edits, and exports

Find past runs, edit amounts with automatic tax recalculation, export CSV or payslip PDFs, and recalculate the year after rate changes.

Step 1 — Open Payroll history

  1. Workforce → Payroll history tab.
  2. Filter by employee or pay period if needed.

Each row is one pay run record with gross, taxes, net, and employer taxes stored.


Step 2 — Edit a run

  1. Click a row to edit.
  2. Change gross, hours, tips, 401(k), or health premium.
  3. Save—the app recomputes taxes for that run using current YTD context.

Use when: Data entry mistake before filing—not for post-filing amendments (ask your CPA).


Step 3 — Delete a run

  1. Delete removes the record from history and YTD totals.
  2. Prefer edit over delete when possible to preserve an audit trail in exports.

Step 4 — Export detailed CSV

  1. Use Export on history (requires license canExport).
  2. Detailed CSV includes gross, each tax line, net, employer taxes, pay dates.

Basic (free) license: export disabled.


Step 5 — Export raw run CSV

Raw run CSV is formatted for re-import or external tools—useful for backups and accountant handoff.

Note: Importing historical payroll CSV through the API may create rows without full tax breakdown—treat as migration stub, not a substitute for in-app runs.


Step 6 — Payslip PDF

  1. Select runs and generate payslip PDF (client-side).
  2. Share with employees for their records—not a substitute for official W-2.

Step 7 — After company rate changes

If you fixed UI rate or SS cap in Company profile:

  1. Click Recalculate payroll year on company profile—not the same as editing one history row.
  2. Re-export CSV for your CPA after recalculate completes.

What exports do not include

  • E-file packages for IRS or EDD
  • Direct General Ledger sync (configure ClearLedger payroll sync separately)
  • 1099-NEC forms (ClearLedger contractor report)
